Time with intention

Creating a detailed run sheet will set a solid foundation for the day, dictating the pace, flow, and atmosphere of your wedding. And crucial to this are realistic timings, with couples routinely underestimating how long each stage and transition can take. “Hair and makeup almost always run over, especially if you’re getting ready off-site,” shares Dani. “Family photographs can also be delayed if you haven’t clearly communicated who’s needed and when. And dinner service can feel rushed if the timeline doesn’t allow space between courses or speeches. Even just walking from one location to another in a sprawling venue takes more time than you would think.”

For this reason, she recommends elongating your schedule: factoring in buffer time throughout the day to allow for any overflow. “Start by working backwards from sunset, especially if you’re doing golden hour portraits, and then add generous padding,” she advises. “10 to 15 minutes here and there adds up to breathing room later”. But be careful not to overfill your run sheet, she warns, emphasizing the power of simplicity. “Be realistic about how much can fit in the day and prioritize what matters most. More isn’t always more: it’s about being intentional.”

For this, Dani advises creating a narrative to follow, incorporating smooth and natural transitions that help proceedings feel effortless. “We approach the day as a well-paced story, with each chapter flowing into the next,” she shares. “That could mean repositioning cocktail hour to create a reception reveal, or timing speeches so they feel organic rather than overly scheduled. Music, lighting, and how guests move through the space all help guide that flow.”

Building a clear and methodical timeline is essential to execution, with Dani warning that a disjointed run sheet can create stress for everyone, from the couple and their guests to all vendors involved. “Important moments can be missed, like that golden hour portrait you dreamed of. And worst of all, you might spend your day watching the clock instead of being fully present,” she explains, stressing the need to consider “not just logistics, but the natural rhythm of a wedding day.”

Communication and collaboration go hand in hand when it comes to wedding scheduling, with a shared vision essential to running a seamless event. And from vendors and suppliers to the extended bridal party, everyone should be kept informed on timings, deadlines, and expectations.

“We create highly detailed, custom timelines with visuals and flow charts that map the day hour by hour,” shares Dani. “And we insist on having a walk through with our clients (either in person or on zoom) to review the entire master schedule.” This is also a good opportunity to discuss expectations with key vendors and ensure their alignment from floristry to photography, with Dani stressing that “everyone should be working from the same timeline.”

Her ultimate piece of advice? Hiring a seasoned planner. “They can obsess over all the details, so you won’t have to”, she advises. Ensuring your wedding runs smoothly and allowing you to be fully present in the celebration.
